Privacy policy
Introduction
Ultra 360 respects your privacy. This policy explains what personal information we collect through www.ultra360.co.za, why we collect it, and what we do with it. We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA).
Who is responsible

What we collect
- When you order: name, email address, phone number, delivery address and order history.
- When you pay: payment is processed by our payment provider. We receive confirmation that payment succeeded and the last few digits of the card. We never see or store your full card details.
- When you create an account: your login details and saved addresses.
- When you subscribe to our newsletter: your name and email address.
- When you browse: device type, browser, IP address, pages viewed and referring site, collected through cookies and analytics.
- When you contact us: whatever you choose to include in your message.
Why we collect it
- To process, pack, ship and support your orders
- To handle returns, exchanges and warranty claims
- To answer your questions
- To send you order updates
- To send marketing emails, where you've asked us to
- To keep the store secure and prevent fraud
- To understand how the site is used so we can improve it
- To meet our legal and tax obligations
Legal basis
We process your information because it's necessary to fulfil our contract with you when you place an order, because we have a legitimate interest in running and improving the store, because the law requires it, or because you've given consent — as with marketing emails.
Who we share it with
We share the minimum necessary with:
- Shopify, which hosts our store
- Our payment providers, to process transactions
- The Courier Guy, so your order can be delivered — name, address and phone number
- Our email marketing platform, if you've subscribed
- Analytics providers, in aggregated or pseudonymised form
- Our accountants and, where legally required, regulators
We don't sell your personal information.
Cross-border transfers
Some of our service providers, including Shopify, process data on servers outside South Africa. Where that happens we rely on providers that offer a comparable level of protection to POPIA.
Marketing
We'll only send you marketing emails if you've opted in. Every email has an unsubscribe link, and you can also email gerhard@ultra360.co.za to be removed. Unsubscribing from marketing doesn't stop transactional emails about orders you've placed.
Cookies
We use cookies to keep your cart working, remember your preferences, and understand how the site is used. You can block or delete cookies in your browser settings, but parts of the store may stop working properly if you do.
How long we keep it
We keep order and transaction records for as long as tax and company law requires. Account and marketing information is kept until you ask us to delete it or your account goes inactive.
Security
We use appropriate technical and organisational safeguards to protect your information, including encrypted connections and access controls. No system is completely secure, but if a breach affects your personal information we will notify you and the Information Regulator as POPIA requires.
Your rights
Under POPIA you may:
- Ask what personal information we hold about you
- Ask us to correct or delete it
- Object to processing
- Withdraw consent to marketing at any time
- Complain to the Information Regulator

Children
Our store isn't aimed at children under 18. If a minor has placed an order without a guardian's consent, let us know and we'll deal with it.
Changes
We may update this policy. The current version is always published on this page.
